Proposals and Contracts Executive
Primary Goal
- To work with Client Services Manager and BD in the production of accurate, timely and relevant proposals in response to RFPs from sponsors, and to work with BD and Operations in the development of accurate contracts reflecting the scope of the awarded project.
- To work with BD in relation to CDAs and Bid Defence meetings and to assist in the winning of new business
- To work with Client Services Manager in the update, review and development of new processes and tools to assist in the proposal development and contract processes.
Key Responsibilities & Critical Objectives
- Familiarisation with POI proposal, contract, MSA, CDA and other relevant templates and working procedures.
- Familiarisation with and compliance with timelines for feasibility assessments, proposals, contracts etc.
- Writing proposals in a timely manner considering the customers needs and wants, the best recruitment scenarios proposed by POI and delineating division of responsibilities for tasks.
- Requesting and tracking progress of appropriate feasibility for proposed studies for ongoing RFPs.
- Production of resourcing for proposals in either POI or client bid grids.
- Reviewing all own proposals leaving the BD department, ensuring they are correct as per the clients expectations. Ensuring all proposals have been through the correct internal review procedure.
- Attending the daily and weekly BD teleconferences and giving input where needed.
- Attending in house ongoing training whenever possible.
- Development and ongoing maintenance of tools to assist in the management of the proposal and contract processes, e.g. template proposals, contracts, CDAs; template budget spreadsheet, bidgrids, checklists etc.
- Generating re-bids in a timely manner.
- Reviewing all potential change order requirements with the assigned Project Manager and generating all change orders in a timely manner and submitting to the Project Manager for review and submission to client.
- Developing relevant leads with clients, as appropriate.
- Attending and contributing to bid defence meetings.
- Updating Custom Relationship Management program to reflect opportunity activity.
Education Requirements and Qualifications
Preferred candidates will have at least 2 years of experience within the CRO/Pharmaceutical industry with an understanding of the clinical trial processes. Preferably at least 6 months of experience writing proposals for a CRO.
